Student Organization Event Planning

In order for a student organization to hold an event or reserve a room on campus, it must be an affiliated student organization. For more information about affiliated student organizations, please visit the Student Organization Affiliation Policy online at http://studentconduct.uncg.edu/policy/. To see if your student organization is affiliated you may visit the Student Group Directory at http://web.uncg.edu/stn/student.groups/.

If your student organization is affiliated with the University of North Carolina at Greensboro here is how to plan an event.

  1. Meet with your organization’s members to plan the event. Remember to plan the date, time, location, venue, intended audience and cost. Plan a back-up date and location to have options if the original date and location are unavailable.
  2. Once you have established the event’s details, see the Assistant Director for Programs or Student Organizations/Greek Life in the Office of Student Life, 221 Elliott University Center, for an Event Contract.
    1. Completed Event Contracts must be turned in four (4) weeks prior to the event’s start date. Failure to turn in completed Event Contracts will result in the cancellation of the event.
    2. The student organization must have attended the Program Planning meeting each semester in order to receive an event contract. Student organizations that do not attend this meeting will be unable to receive event contracts until the following semester after attending the Program Planning meeting.
    3. A room reservation does not have to be placed or confirmed when starting an event contract, but keep in mind not having a room hold or confirmation may hinder the Event Contract process.
  3. Return the completed Event Contract you initiated the contract with to the OSL Assistant Director within four (4) weeks of the event date.
